At BCOTB, your child’s success is our utmost priority. To ensure that we provide the highest level of care and support, we have assembled a dedicated team that works together to create a tailored therapy plan for your learner. This collaboration allows us to focus on your child’s unique needs and achieve meaningful progress! Below are the key roles involved in curating your child’s sessions.
BCBA/Case Managers
Each child at BCOTB is assigned a dedicated Case Manager who is a Board Certified Behavior Analyst (BCBA). The BCBA/Case Manager plays a central role in your child’s therapy. They are responsible for providing ongoing supervision to the team members who work 1-on-1 with your child, ensuring that all therapy is effective, consistent, and individualized. The BCBA/Case Manager monitors your child’s progress, making necessary adjustments to programs as they assess performance and growth.
In addition to overseeing the sessions, the BCBA/Case Manager maintains regular communication with parents. They schedule meetings to discuss your child’s progress, address any concerns, and provide additional support when needed. This direct line of communication ensures that parents are always informed about their child’s goals and progress. The BCBA/Case Manager is also available to provide coordinated care between school and/or other therapies your child is involved in.
Registered Behavior Technicians (RBTs)
Registered Behavior Technicians (RBTs) are the professionals who work directly with your child during sessions. Under the guidance of the BCBA/Case Manager, RBTs implement specific programs that are tailored to your child’s needs. RBTs are highly trained in applied behavior analysis (ABA) techniques and work diligently to support your child’s learning in a one-on-one setting.
RBTs are responsible for collecting data during each session, tracking progress, and ensuring that the therapy is being delivered as planned. After each session, they communicate with parents to provide updates on the day’s activities and any notable progress or challenges. While RBTs can answer general questions regarding the session, more clinical or specific questions about your child’s treatment plan are usually referred to the BCBA/Case Manager for further discussion. This division of responsibilities ensures that all questions are addressed by the appropriate expert on the team.
Front-End Specialist/Manager of Operations
Behind the scenes at each BCOTB clinic is a dedicated Front-End Specialist or Manager of Operations. This individual is responsible for the logistical aspects of your child’s therapy, including scheduling and payment management. The Front-End Specialist ensures that therapy sessions are being accurately scheduled for both parents and therapists, and handles any cancellations or rescheduling needs. Additionally, they are the point of contact for any concerns related to payments, insurance changes, or billing.
If you ever have questions regarding your child’s appointment schedule, cancellations, or insurance, your Front-End Specialist is the person to reach out to. Their role is essential in ensuring that the therapy process runs smoothly from an administrative standpoint, allowing parents to focus on their child’s progress without worrying about scheduling or payment-related concerns. (Funding options and additional parent resources can also be found on BCOTB’s blog.)
Clinical Coordinator
Each clinic also has a Clinical Coordinator, a tenured BCBA who specializes in overseeing the work of BCBAs and RBTs. Clinical Coordinators play an essential role in ensuring that all therapy sessions are being carried out with the highest level of professionalism and effectiveness. They provide additional supervision and support to the BCBA/Case Managers and RBTs, ensuring that the team is delivering the best possible care.
In addition to overseeing the clinical team, Clinical Coordinators are available to address any concerns that caregivers may have about the process. If parents have questions about their child’s therapy or need clarification on specific strategies, the Clinical Coordinator is a valuable resource. Their expertise in behavior analysis allows them to provide support for both parents and the therapy team, ensuring that all aspects of the process align with the goals set for each child.
Clinical Management Team
At BCOTB, we also have a dedicated on-site management team that works to support the overall functioning of the organization. This team includes the General Manager, Director of Clinical Services, and Vice President, each of whom plays an important role in maintaining the integrity and quality of our services.
-
General Manager: The General Manager is responsible for overseeing client accounts and addressing any outstanding questions or issues that the Front-End Specialist cannot resolve. If you have concerns that require additional attention or if there are questions about your child’s account, the General Manager is available to assist.
-
Director of Clinical Services: The Director of Clinical Services oversees the Clinical Coordinators across all clinics and provides ongoing support to ensure the clinical team maintains high standards. They play a vital role in supporting the team’s efforts to ensure the quality of care is consistent and that best practices are followed.
-
Vice President: The Vice President oversees the day-to-day operations of the company, ensuring everything runs smoothly. This includes managing policies and procedures, ensuring HIPAA compliance, handling human resources matters, and overseeing compliance and credentialing. The Vice President plays a critical role in ensuring that BCOTB adheres to the highest standards of care and maintains a strong ethical and professional foundation.
